How One Recruiter Can Screen 200 Candidates a Week (Without Working Weekends)

Sarah is a recruiter at a mid-size tech company. She manages 12 open roles simultaneously. Last quarter, her pipeline had 2,400 applicants across those roles — roughly 200 per role. She screened every one of them, built shortlists for each hiring manager, and filled 10 of the 12 roles within 30 days.

She did this working 40-hour weeks.

Two years ago, this would have been impossible. At 25 minutes per phone screen plus scheduling overhead, screening 200 candidates would consume 100+ hours — two and a half full work weeks. For 12 roles simultaneously? You'd need 3-4 recruiters, not one.

Here's what changed, and what Sarah's actual week looks like.

The old week (before)

Sarah's week used to look like this:

Monday: Review resumes for 3 roles that posted last week. 150 resumes total. Spend 5 hours scanning, shortlist 40 for phone screens. Flag 15 "maybes" to review later (she never does).

Tuesday-Wednesday: Phone screens. 8 per day, 25 minutes each plus 5 minutes for notes. 16 screens across two days. Most are fine. Three are clearly unqualified but she didn't know until 10 minutes in. Two are strong but have already accepted other offers.

Here's what Sarah's week looks like now:

Monday morning: Review and shortlist

Sarah opens her dashboard. Over the weekend, 85 new candidates applied across her 12 open roles. Of those, 62 passed the automatic eligibility screen and were invited to complete an AI interview. 41 have already finished their interviews.

For each completed interview, Sarah can see:

  • Overall score (out of 100)
  • Score breakdown by criterion (technical knowledge, problem-solving, communication, etc.)
  • A 3-paragraph conversation summary

  • Every role is completely unique — highly specialized roles where interview configuration requires extensive customization
  • Your candidate pipeline is small and sourced — when you're personally recruiting 10 candidates for a VP role, the bottleneck isn't screening

The recruiter's perspective

The most common reaction from recruiters who make this switch isn't "I'm worried about being replaced." It's "Why was I spending 20 hours a week on something a machine can do better?"

Phone screens are the recruiting equivalent of data entry — necessary work that doesn't use the skills that make a great recruiter great. When that work gets automated, recruiters don't become less valuable. They become more valuable, because they can focus on the parts of hiring that actually require human expertise: understanding what a team really needs, selling candidates on an opportunity, building long-term talent relationships, and making the judgment calls that no algorithm can make.
